A few things to know.
What does it cost?
CaddieCaptain planning is free to use. Flights, lodging, golf, and other trip expenses are paid separately to the providers. Current booking links do not earn CaddieCaptain a commission; affiliate links will be identified when available.
Do I need dates, a destination, and all the golfers?
No. Start with a place, some dates, or your usual group. Every trip opens on the same compact dashboard. Trip details can be added later while you plan. Your suggested next step is separate from golfers’ replies; each golfer submits their own answers. Any required checks appear when you choose or share a plan.
Can I use the trip file I already have?
Yes. Use Excel (.xlsx), Word (.docx), a PDF with selectable text, a saved email (.eml), CSV or text. You can paste an email too. Combine up to five files in one review. Check conflicting dates, possible duplicate golfers and unclear prices, add anything else, then ask your group which options work. Missing details can wait. Use Read a scan or photo for English scans, then check the words before import.
Can I try it before starting a trip?
Yes. Follow a file from dashboard to golfer reply, or explore the Desert Cup trip. Nothing is sent. No sign-in needed.
Who sends the invitations?
For now, the captain opens each golfer’s invitation in their own email app, checks the From address, and taps Send. Each golfer gets a private link. If the email app doesn’t open, copy the invitation into your own email. Copying a link or opening a draft does not send it.
Who sees my budget and personal choices?
Your captain sees your budget and answers. Other golfers see the shared plan. You choose whether to share your contact details. Read about privacy.
More about planning your trip
What happens when plans change?
The captain can preview moving trip dates, golf, meals and assigned days together, then review and share the update. Reservation records and payments stay saved. Golfers see their own changes in My Trip and can acknowledge them.
Can golfers add their own bookings?
Yes. In Travel details, import a PDF, saved email or pasted flight, hotel or rental confirmation. Review the fields and date warnings before saving. Personal confirmation numbers stay private. Captains can assign a day to plan and follow up inside My Trip.
Can I add golf reservations to an existing trip?
Yes. Open Bookings and choose Import golf reservations. Paste your confirmations, check the course, date, tee time and golfers, then save. Existing rounds stay in place unless you explicitly choose to update them.
How do golfers join?
Open your invite and say if you’re coming. My Trip opens next. Answer the trip questions when you’re ready, then send your answers. Use the same invite to come back.
Does CaddieCaptain book the trip or collect our money?
You book and pay outside CaddieCaptain. Keep booking details and shared costs here. A payment you report stays pending until the person you paid confirms it.
Can I find the places on our schedule?
Yes. Open Places & map on your schedule. Use Directions for each stop. Captains can add a saved map link. When start and end times are saved, you can check the gap between stops and open the driving route.
Can our group keep golf scores?
Yes. Open Add scores beside your golf start time. Type the scores or add a scorecard photo. Check the names and scores, then save. Try it in the demo.
What if I get stuck?
Choose Need help? on any page. Ask where to find a feature, how a step works, or what to do next. Use the suggested buttons to open the right screen. Help stays inside CaddieCaptain.
